Contractor quote checklist

A lower bid is not always a better bid. Use this checklist to make sure each quote covers the same scope, materials, labor, permits, schedule, payment terms, and change-order process.

Scope and drawings

  • Every room, surface, and work area is listed.
  • Demolition, disposal, protection, and cleanup are defined.
  • Drawings, measurements, or photos are attached when useful.
  • Anything excluded from the bid is listed clearly.

Materials and allowances

  • Cabinets, countertops, fixtures, flooring, tile, paint, hardware, and appliances are itemized or assigned realistic allowances.
  • Brand, model, size, finish, and quantity are listed where selections are final.
  • Lead times and special-order materials are discussed.

Permits, inspections, and code

  • The quote says who applies for permits.
  • Inspection responsibility is clear.
  • Code-sensitive work such as electrical, plumbing, structural, ventilation, stairs, railings, and egress is addressed.

Payment and warranty

  • Deposit and milestone payments are written.
  • Final payment is tied to completion and punch-list resolution.
  • Labor warranty, manufacturer warranties, and warranty exclusions are included.
  • Change orders require written approval before work continues.
